Volunteer Agreement

Effective: 2025 | PaxUnity — Ajax, Ontario

This Volunteer Agreement outlines the terms and expectations for all individuals who volunteer with PaxUnity. By submitting a volunteer application and participating as a PaxUnity volunteer, you agree to the following terms.

1. Role of the Volunteer

Volunteers support PaxUnity's mission on a non-paid, non-employment basis. Volunteering with PaxUnity does not constitute an employment relationship, and volunteers are not entitled to wages, benefits, or employment insurance.

2. Application and Approval Process

All volunteer applications are reviewed by PaxUnity's HR team. Submission of an application does not guarantee acceptance. Applicants may be invited for an interview before a final decision is made. PaxUnity reserves the right to decline any application at its discretion.

3. Conduct and Expectations

All volunteers are expected to:

Uphold PaxUnity's Community Standards and Code of Conduct at all times
Arrive on time and fulfill agreed-upon commitments
Communicate professionally with staff, participants, and the public
Represent PaxUnity with respect and integrity
Maintain confidentiality regarding sensitive organizational or participant information
Follow all instructions from PaxUnity organizers and event leads

4. Volunteer Letters

PaxUnity may issue an official volunteer letter upon request, confirming a volunteer's participation. Volunteer letters are issued only after:

Formal approval by PaxUnity HR
Completion of an agreed-upon number of volunteer hours
Satisfactory conduct throughout the volunteer engagement

PaxUnity reserves the right to withhold a volunteer letter if conduct standards have not been met.

5. Termination of Volunteer Engagement

Either party may end the volunteer relationship at any time. PaxUnity may terminate a volunteer's engagement immediately in cases of misconduct, breach of this agreement, or behavior that harms the organization or its community.

6. Confidentiality

Volunteers may have access to information about participants, operations, or upcoming events. Volunteers agree to keep such information confidential and not share it outside of authorized PaxUnity channels.

7. Photography and Media Consent

By volunteering at PaxUnity events, volunteers consent to being photographed or filmed for organizational purposes. Please refer to our Media and Photography Policy for full details.

8. Liability Waiver

Volunteers participate at their own risk. PaxUnity is not responsible for personal injury, loss of property, or damages sustained during volunteer activities, except where required by law. Volunteers agree to take reasonable precautions for their personal safety.

9. Acknowledgement

By submitting a volunteer application and checking the agreement checkbox, you confirm that you have read, understood, and agreed to this Volunteer Agreement in its entirety.
